Remote Online Notarization for Title Companies & Real Estate Attorneys
The deal is ready. The documents are ready. But one of the signers cannot be in your office — they have relocated, are traveling, live in another state, or cannot attend during normal business hours.
The closing does not have to wait on geography. With remote online notarization (RON), a buyer, seller, borrower, or other signer can complete a signing live on camera with a commissioned online notary from wherever they are. At Notary Force, I work with title companies and real estate attorneys nationwide on files that permit a Tennessee-commissioned online notarization.
How a RON Closing Works With Notary Force
- You send the file. Assign the closing through your usual channel, your vendor platform, or directly to Notary Force.
- I schedule with your signer. Sessions can be arranged outside normal business hours, including evenings and weekends, to help protect the closing date.
- Your signer completes identity proofing. The signer goes through third-party credential analysis of a government-issued ID and knowledge-based authentication questions.
- We meet in a live video session. I verify the signer’s identity on camera, witness the signatures, and apply my electronic notary seal.
- The completed documents are returned promptly. The signed documents are tamper-evident, and the session recording creates an audit trail for the file.
Built for Closings — and Designed to Work Across State Lines
Remote online notarization is regulated at the state level, and the notary performs the notarization under the law of the state where the notary is commissioned and physically located. The signer does not have to be in that same state.
That distinction is what makes RON so useful in modern real estate transactions. Parties may live, work, and relocate in different places, while the title company or attorney coordinating the closing may be somewhere else entirely.
Acceptance can still depend on the details of the file — including the lender, underwriter, transaction, and recording requirements. If your company has a required platform or approval process, tell me when the file is assigned so those requirements can be confirmed before the session is scheduled.
Security That Stands Up to Fraud Concerns
Seller impersonation and vacant-land fraud are real and growing concerns in real estate. A traditional paper signing can involve little more than a quick look at a driver’s license. A properly conducted RON session layers several identity and document protections instead:
- Credential analysis by a third-party provider, which examines the security features of the signer’s government-issued ID
- Knowledge-based authentication questions the signer must pass as part of identity proofing
- Live, on-camera identity verification by the notary during the session
- Tamper-evident electronic documents that reveal unauthorized changes
- A recorded session that can be reviewed if a question arises after closing
For a remote seller or another signer your team may never meet in person, those layers create a stronger record than simply collecting a signature and a copy of an ID.
When Title Companies and Real Estate Attorneys Use RON
- Out-of-state or traveling buyers, sellers, and borrowers
- Relocation closings where one party has already moved
- Split signings with parties participating from different locations
- Investor and portfolio transactions involving signers in multiple places
- After-hours, weekend, and overflow closings your in-house team cannot cover
- Urgent files where waiting for an in-person appointment could jeopardize the closing date
